Missed Call Text Back with your existing Australian number

25 October 2026 · 5 min read · By Sakaevo

Keep your advertised number where compatible, understand the separate reply number, and check voicemail, forwarding costs and reply handling before launch.

You have put your business number on your website, Google profile, van or shopfront. Keeping that number matters.

Missed Call Text Back can work around an existing Australian business number when the phone service supports the required routing. Customers keep calling the number they know. If you cannot answer, an eligible caller receives a short text and can explain what they need.

The important step is checking your actual number, provider and phone setup before switching anything on.

How it works

A typical setup has four steps:

  1. A customer calls your advertised business number.
  2. Your agreed phone setup handles the call and lets the connected service recognise an unanswered call.
  3. An eligible mobile caller receives a branded text from a dedicated Australian reply number.
  4. Their reply goes to your nominated contact, so a person can respond or call back.

This can suit a salon owner with a client, a mechanic working in the workshop, a driving instructor between lessons or a shop owner serving someone at the counter.

The automatic text opens a conversation. Your team still needs to handle it.

Keeping your advertised number

First, identify what you use today: a mobile, landline, hosted phone system or shared business number.

Some setups use conditional call forwarding, which redirects calls under specified conditions. Others need routing inside a business phone system. Telstra documents different forwarding options, including conditional settings. That does not confirm compatibility with a separate text-back service; your exact setup still needs checking. Telstra call-forwarding guidance.

Ask your provider or installer:

Keeping your advertised number and using a separate reply number are compatible ideas. The reply number can support the text conversation while customers continue calling your existing number.

There is no need to change the number on your signs or Google profile before compatibility has been confirmed.

Which number sends the text?

In Sakaevo's compatible setup, the text comes from a dedicated Australian reply number for your business. It may differ from the number the customer called.

That makes a clear introduction important. Here is the approved team-style wording, shown for a fictional business:

Hey, it's the team at Harbour Studio. Sorry we missed your call. What do you need help with? We'll get back to you as soon as we can.

You approve the message before launch. Check the actual delivered text on a phone, including any sender or opt-out wording added by the messaging provider.

Agree who receives replies and who is responsible for answering them. Sending a text is only useful if someone follows up.

Voicemail needs a proper test

A call can look different to your phone and to the connected service. For example, voicemail may answer before the system records the call as missed.

Test your real setup with voicemail enabled. Include calls you ignore, calls you reject, a busy line and calls outside your opening hours. Confirm where each call goes and whether a text should be sent.

Avoid applying generic forwarding codes from an online guide. The right settings depend on your provider, phone system and existing voicemail arrangement.

Decide what customers should expect after hours. The first text should identify your business and acknowledge the call without promising an immediate response your team cannot provide.

Which callers can receive a text?

The caller needs an available number that can receive SMS. Private or withheld numbers cannot be texted back through that number, and many landlines cannot receive a normal SMS.

The setup also needs to respect existing opt-outs and prevent repeated calls from producing repeated automatic texts.

Sakaevo's design uses one initial text followed by human handling, with a cooldown to limit repeat sends. Those rules need to be tested on the actual setup before activation.

Missed Call Text Back does not answer the call or make bookings by itself. Any additional conversation handling or booking work needs its own agreed scope.

Check all three parts of the cost

Ask for the costs in writing:

An unlimited-calls plan does not establish what a particular diversion will cost. Optus explains that diversion costs vary by service and type, with charges for the forwarded part of a call depending on the plan. Check your own provider's current terms. Optus diversion-cost guidance.

Sakaevo's published-price follow-up plans include 100 outbound SMS segments each month, then actual provider cost with no Sakaevo markup. A longer text can use more than one segment. Different agreed arrangements retain their own inclusions.

See the current Sakaevo plans for setup, monthly fees and the other services included. Carrier charges should be checked separately.

A practical pre-launch checklist

Before switching it on, ask to see these tests:

  1. Answered call: normal conversation, with no missed-call text.
  2. Unanswered call: an eligible mobile caller receives the approved message at the agreed time.
  3. Voicemail and busy calls: each follows the agreed routing and text-back rules.
  4. Private or non-textable number: no attempted SMS where the number cannot receive it.
  5. Repeated calls: the cooldown prevents unwanted repeat messages.
  6. Customer reply: it reaches the right person, who can respond.
  7. Opt-out: the messaging setup respects it.
  8. After-hours call: the message and response expectations fit your business hours and staffing.

Keep a record of the original phone settings and the steps needed to turn the service off. Confirm who to contact if calls or replies stop reaching you.

Start with your current setup

Missed Call Text Back is worth considering when you receive genuine phone enquiries and cannot always answer, provided someone can respond when a customer replies.

Start with your number type, provider, voicemail arrangement and the person who will handle replies. That gives you a practical basis for deciding whether the service fits.
